Axis Point Partners

Privacy Notice

Effective date: October 17, 2026

Who we are and how to contact us

Axis Point Partners (“Axis,” “we,” “us”) provides administrative support, property management support, corporate architecture coordination, business systems services, and custom app development.

This notice covers our business website at https://axispointva.com, its service intake forms, and our client portal at https://portal.axispointva.com. A separately developed client app may need its own privacy notice reflecting that app’s information and features.

For privacy questions or requests, contact [email protected]. Describe the request without sending passwords, payment-card details, Social Security numbers, or other unnecessary sensitive information.

Information we receive

Depending on how you interact with Axis, we receive:

A client or authorized representative may provide contact details for colleagues who need workspace access. Provide information about other people only when you are authorized to do so.

Our public intake forms request general descriptions. Do not submit actual tenant/customer records, credentials, banking details, screening reports, or other sensitive records through an intake form. If service work requires confidential records or account access, arrange an appropriate transfer and access method with Axis first.

How we use information

We use information to respond to inquiries, assess requested services, prepare proposals, deliver agreed work, maintain workspace records, manage access, communicate about services, support users, protect our systems, and meet applicable business and legal obligations.

We do not sell personal information or share it with advertisers.

Submitting an inquiry or intake form does not sign you up for marketing emails or newsletters. We use the contact information for the inquiry, proposed engagement, or agreed client services. Any future marketing subscription would be handled separately.

Service providers and authorized access

Our current website and portal rely on service providers including:

We use redacted information where practical. Before sharing identifiable or confidential client records with ChatGPT, we obtain the client’s written permission. The permission should identify the tool and the information to be shared.

The information a provider processes depends on the service used. Providers also describe their own processing in their privacy notices. We may use other agreed tools where needed for a particular engagement; material arrangements should be explained in the applicable service documentation.

Axis personnel may access information needed for their assigned work. Authorized client-side users may access records shared with their workspace. Private team notes are restricted to authorized Axis personnel and are not part of the ordinary client view. Avoid putting information in shared workspace messages that other authorized workspace users should not receive.

Information may also be disclosed where required by law or reasonably necessary to address fraud, security incidents, or protect legal rights. This notice does not grant other users unrestricted access to your records.

Linked services and file permissions

Opening a Google Form, Drive link, payment page, or another external service takes you to that provider’s service and applicable terms. Only provide payment details through the payment method agreed for your engagement.

Portal and Google Drive permissions are managed separately. Portal sign-in does not automatically grant access to a Drive file, and ending portal access does not automatically revoke an existing Drive permission. Contact Axis if a workspace or file appears to have incorrect access.

Cookies, sign-in, and browser settings

Hosting, security, authentication, and linked providers may use cookies or similar technologies as part of delivering their services. Browser settings can affect sign-in and other functions. The current portal keeps its login session in page memory; closing or refreshing the page may require signing in again.

Retention and closed engagements

For inquiries that do not become client engagements, our policy is to delete intake responses 12 months after the last contact, unless there is a continuing legitimate business need or an applicable requirement to retain them.

Client service records, financial documents, and other record types follow separate retention arrangements based on their purpose, ongoing service needs, applicable requirements, and the resolution of disputes. The applicable service agreement or retention arrangement should identify any specific periods and client handover commitments.

Ending an engagement or disabling a login does not itself delete service history, email, Drive files, or backup copies. Contact Axis about records you need returned, corrected, or considered for deletion. Some information may need to be retained for legitimate business or legal reasons. Backup copies may remain until their applicable retention cycle expires.

Your choices and requests

You can choose not to submit optional intake information and can contact Axis to discuss communication preferences. Some information is needed to assess a request or provide the agreed service.

You may ask about your information, request a correction, or request access, return, or deletion where applicable. We may need to verify your identity and authority before acting, particularly for shared workspaces or records relating to other people. We will explain material limits on a request where appropriate. This notice does not promise a particular response deadline or export format beyond applicable requirements and agreed terms.

Protecting information

We use safeguards appropriate to the information and services involved, including account-based access and restricted workspace permissions. No online service or transfer method can guarantee absolute security. Use a strong, unique portal password, avoid sharing logins, and contact Axis promptly about suspected unauthorized access.

Changes to this notice

We may update this notice when our services or information practices change. The revised notice will show its effective date. Where additional notice or consent is required, we will address it as appropriate.
